EstateAssistant optimizes your processes, saves your precious time and allows you to serve more clients. Some of the core functionality of the system is described below.


Property


Module “Property” is one of the core modules of the system and gives you control over thousands of offers.
Using the powerful search and filter functionality (slider menu on the left) you can find an offer using any combination of attributes.
The main area of the screen displays a full list of all offers with the most important attributes and a picture of the property. All other attributes are displayed once a property is selected for detailed view. You can easily print the list of all offers or a customized subset of offers matching certain criteria.


All offers also have a graphic visualisation, using an integrated Google Maps module, so you can directly print out a map of the region or guide a client while on the phone with them.


Property - Preview


Once an offer is selected, the Property module’s main screen displays immediately 90% of the details of the respective offer, giving you an easy navigation and fast access to all of the important attributes of the offer (pictures, property description, deal type, price, offer number, state, visit notes, last visit date, etc...).
All associated with the offer contacts are displayed and can be reached immediately.
Exact address, GPS coordinates and a Google Maps positioned visualization are also displayed.
All property-related calendar events (past and future visits, meetings, etc...) are also displayed.


Property - Details


This section contains the full set of property attributes. All these attributes can also be synchronised with an offer, published on a central real estate portal site.


Property - Address


Entering the exact address of the property is done in a very intuitive manner - choose a region and sub-region or directly write the street or enter GPS coordinates. The exact address (as well as other sensitive information) is visible only to the broker(s) with access rights to this offer.

There is also an option to generate an “approximate address”, an address which is just a couple of streets off the exact address but still reveals correctly the approximate positioning of the property. This feature is particularly useful when showing the property to clients or other agencies.

EstateAssistant utilizes GoogleMaps’ functionality to enable to to choose and visualize an address in a very intuitive way as well as obtain property’s exact GPS coordinates.


Property - Contacts


In the module Property Contacts the broker can enter unlimited number of contacts (seller, clients, landlords, tenants as well as other parties related to the offer).
This enables the broker to directly get in touch with everyone related without loosing precious time to search through different contact directories and databases.
The visibility of these contacts can be defined on a fine-granular level allowing only pre-determined parties to access as well as transfer them.

Choice of offer-related contacts

When adding related contacts (seller, client, intermediary, etc...) the broker can search whether this party is already a familiar contact from another context / offer. If this is a new contact the broker can add it with a single click.


Property - Pictures


The days of annoying and time-consuming picture formatting and processing are over!
The module “Property Pictures” allows you to add photos directly from your camera. You just attach the camera to the computer, select the relevant pictures and EstateAssistant automatically resizes and transforms your pictures to a standard predefined format.
With a single click you can incorporate a watermark of your agency into the pictures, rearrange, export or print them.

Property - Meetings, visit, events, etc...


The module “Property Events” helps you to keep record of all meetings, visits, phone calls, etc... which helps you to easily retrieve this information and quickly answer all client requests.


Property - Deal Description


An appealing, quality description of a deal is key to a successful closing.
The module “Property - Deal Description” you have a comprehensive toolbox to create and format a high-quality deal description for multiple output views - in HTML, for printing, for exchange with other brokers and agencies, for posting on your web site, or on a major real estate portal or on your Facebook page.
Several levels of granularity of the deal description gives you full control over its presentation and client segment targeting.
- Full Description: an unlimited in size description of the offer
- Short Description: a concise and punchy short description of the deal to catch the eye of a prospective client
- Deal Title: a condensed title which will appear as a title on your web site, other real estate portals as well as on your Facebook page.


Deal Documents


This module enables you to attach (using their file identifiers) and classify all deal-related documents, to add detailed description to each of them, and to find them easily later on when looking at the deal.

If you are using a VPN across all offices of your agency, you can also utilize these documents regardless of the geographic location.



Contacts

Managing a good rolodex of contacts of all leads, present and past clients, sellers, other service providers and agencies is vital for every real estate office.

Module “Contacts” forms the core of a CRM (Client Relationship Management) system, integrated into EstateAssistant and optimizes your work with all contacts involved in your business processes.
Using this module the broker can enter names of physical persons and companies, all their contact details (telephones, addresses, emails, web site(s), skype and other IMs) without any limitation. Notes can also be attached to each contact and finding a contact among the thousands of contacts your have, takes less than a second.
Similar to other modules, using the Access Rights system you can fine-tune the access to your contacts, allowing only pre-defined brokers or teams to access each of your contacts, thus protecting your valuable assets from unwelcome eyes.



Calendar, visits, meetings, phone calls log, etc...


Using the “Calendar” module you can schedule and track all relevant events throughout deal’s lifetime, which often spans over several months.
One can manage all visits, meetings, calls, also making notes for each of these events.
Furthermore, the manager of the agency can have an overview of the brokers’ schedule and manage their availability.



Client enquiries for sales or rentals


Using this module the broker can create a Search Profile matching client’s requirements such as type of property, size, number of rooms, area and sub-area, price range, etc...

This Search Profile can be stored and used for subsequent searches in the deal database as well as for triggering a matching alert, once a new matching deal appears.

Furthermore, this Search Profile can be utilized for a very quick search even during the first phone call with the client selecting potential matches and sending them immediately to the client over email. This functionality will not only optimize your work but also lead to higher conversion ratio among your clients, also increasing their satisfaction with your service.

Access Control

- Groups: definition of all relevant groups in the system (brokers, administrators, owners, clients, etc...), fine-tuning of their access rights over different parts of information.
- Organisational Structure: assigning of users to groups in order to define their standard level of access rights.
